Introducing Mena.ai: Clinical Documentation for Psychologists

Meet Mena.ai, the clinical documentation platform that records your sessions with consent, drafts your notes and remembers context across sessions, so you can review and edit in minutes.

If you're a psychologist or psychotherapist, this will sound familiar: back-to-back sessions, clinical notes piling up, invoicing waiting, and that one detail from a patient you meant to write down but didn't quite catch in time. It's a reality shared by thousands of mental health professionals, and it's precisely where Mena.ai comes in.

Meet Mena.ai, the clinical documentation platform that records your sessions with consent, drafts your notes and remembers context across sessions, so you can review and edit in minutes. It takes the paperwork off your desk and gives you back time for what actually matters: your patients.

A problem we know well

Portugal set a target of one psychologist for every 5,000 inhabitants (Resolução da Assembleia da República n.º 158/2021), and its public health service remains far below it. The professionals who are out there face a workload that extends far beyond the session itself:

  • Each hour of therapy often generates 2 to 3 hours of administrative work: notes, reports, invoicing, scheduling.
  • Capturing every relevant detail during a therapeutic conversation while remaining fully present in the relationship is a difficult balance.
  • Keeping weeks or months of session history at hand demands a level of memory and organisation that conventional tools simply don't provide.
  • Cost and the lack of between-session contact remain real barriers to patient engagement in treatment.

These aren't the clinician's limitations. They're the limitations of the tools available.

What Mena does differently

Most tools stop at converting audio to text. Mena turns each session into a structured draft that fits the way therapists actually write, and keeps the whole record organised so nothing gets lost between appointments.

Session capture and transcription

With your patient's consent, Mena records the session and produces a full transcript once it ends. You stay present in the conversation instead of typing.

Draft clinical notes

From the transcript, Mena drafts a clinical note in the format you use (SOAP, DAP, BIRP or your own template), with the patient's exact words quoted where it matters, so you can check every line against the original context.

Your review, your edits

The draft is yours to work on. You edit it, add your clinical reading, and decide what stays in the record. Mena writes; you decide.

Clinical memory

Mena remembers what you have recorded about each patient: preferences, family context, therapeutic goals and treatment history across all sessions. You can ask about a patient's history and get answers drawn from your own notes, with links back to the session they came from.

In practice: before, during, and after the session

We designed Mena to fit naturally into the clinical workflow, without disrupting it.

Before the session: Ask the AI assistant to recall what was discussed last time, the goals you set and the homework you agreed. Walk into each appointment prepared, without re-reading pages of notes.

During the session: Focus entirely on your patient. Mena records the session and, once it ends, transcribes it and organises the content into a draft.

After the session: Receive a draft clinical note built from the transcript and your previous notes. You review and edit it. The clinical decision is always yours.

Security and compliance

Working with clinical data requires a level of care we've taken seriously from day one:

  • AES-256 end-to-end encryption on all recordings
  • Full GDPR compliance
  • Alignment with Article 14 of the EU AI Act: the AI drafts, the professional decides
  • Multi-factor authentication

Your patients' privacy isn't an optional feature. It's the foundation of everything we've built.

Everything else, in one place

Good documentation is only useful when the practice runs smoothly. That's why Mena also integrates:

  • Scheduling with patient self-booking
  • Invoicing with local tax system integration
  • Patient portal for communication and material sharing
  • Integrated video calls for telehealth consultations
  • Practical reminders: upcoming appointments, missed sessions, sessions with notes still to write and questionnaires waiting to be sent

All in a single platform, without jumping between disconnected tools.

Who Mena is for

Independent psychologists: Running a solo practice is demanding. Mena takes on the administrative load so you can focus on what you do best. Plans starting at €39.99/month. See what Mena.ai is and isn't.

Clinics and teams: Multi-practitioner management with role-based permissions, shared financial dashboards, and one organised record for the whole team.

Students and researchers: Special pricing and supervised practice tools for those in training or conducting clinical psychology research.

Built on scientific rigour

Mena wasn't built in a vacuum. It's the result of a collaboration with Instituto Superior Técnico and INESC-ID, grounded in peer-reviewed research.

Our research on AI solutions for healthcare accessibility was awarded Best Paper at the ICT4AWE 2025 conference.

This recognition isn't an end in itself. It's a sign that the approach we're taking has solid foundations.
