How does the payment processing integration work?
Therapists can choose to take payments through Mena, or use invoice-only mode and collect them another way. Each payment is linked to its session and its invoice.
Can I use my own payment processor?
Yes, you can choose the invoice-only mode which allows you to generate professional invoices and collect payments through your preferred method. This gives you complete flexibility while still benefiting from our scheduling and practice management features.
How does appointment scheduling integrate with billing?
Our system automatically links completed appointments to billing records. When a session is marked as completed, the system can automatically generate invoices based on your configured rates and billing rules, eliminating manual billing tasks.
What financial reports are available?
Reports cover revenue, outstanding invoices and session-based revenue. They can be exported.
Is the billing system GDPR compliant?
Billing and payment data is handled in line with the GDPR. It is hosted on Microsoft Azure in the EU, every connection uses HTTPS, and card payments are processed by Stripe, a PCI DSS Level 1 provider.
Can patients reschedule appointments themselves?
Yes, through the secure patient portal, patients can view, reschedule, or cancel appointments based on your availability and cancellation policies. The system automatically handles conflicts and sends confirmation notifications to both parties.
